This Refund Policy applies to tickets and passes purchased directly through an official Canada AI Week™ checkout operated by Canada AI Week. It should be read together with the ticket description, checkout terms and Terms of Use. If a specific offer expressly provides different refund terms, those product-specific terms apply to that purchase to the extent permitted by law.
1. General policy
Unless a ticket offer expressly states otherwise, ticket purchases are final after payment except where Canada AI Week™ approves a refund, where cancellation or material rescheduling gives rise to a remedy under this policy, or where applicable law requires a refund, cancellation right or other remedy. Please review event dates, ticket type, eligibility, included benefits and checkout details before purchasing.
2. Event cancellation
If Canada AI Week™ cancels the event covered by your ticket and does not provide a replacement date, substantially equivalent replacement event or another remedy accepted by you, eligible purchasers will be offered a refund of the eligible amount paid for the affected ticket, subject to applicable law and the terms presented at purchase. Treatment of processing charges or third-party fees will be disclosed and applied only where permitted by law.
3. Event rescheduling
If the event is rescheduled, the original ticket will ordinarily remain valid for the replacement date. For a material date change, Canada AI Week™ may provide a reasonable option such as retaining the ticket, transferring it where permitted, receiving an event credit, or requesting a refund. The available remedy and any request deadline will be communicated to affected purchasers.
4. Force majeure and extraordinary circumstances
If performance is affected by circumstances beyond reasonable control, including severe weather, public-health measures, transportation disruption, venue unavailability, governmental action or similar extraordinary events, Canada AI Week™ will determine an appropriate operational response. Depending on the circumstances and applicable law, this may include rescheduling, relocation, digital delivery, credit or refund options.
5. Speaker, agenda, venue and programme changes
Technology conferences involve evolving programmes. Changes to an individual speaker, session, room, agenda time, partner, sponsor, venue within the host area, session format or similar programme element do not by themselves create an automatic refund right unless the change amounts to a material failure to provide the purchased service, the purchase terms expressly provide otherwise, or applicable law requires a remedy.
6. Unable to attend, no-shows and personal circumstances
Except where required by law or expressly approved, refunds are not automatically available because an attendee can no longer attend, misses the event, has a scheduling conflict, changes plans, becomes unavailable, or fails to use all included benefits. Where transfers are permitted, a transfer may be available as an alternative.
7. Travel, accommodation, visa and third-party costs
Unless a package expressly states otherwise, attendees are responsible for their own transportation, accommodation, visa, immigration and other third-party arrangements. Canada AI Week™ is not responsible for refunding third-party travel or accommodation costs merely because a ticket refund is approved. Attendees should consider appropriate flexible or insured travel arrangements where relevant.
8. Transfers and attendee-name changes
If transfers or attendee-name changes are permitted for a ticket type, they must be completed through the process communicated by Canada AI Week™ and may be subject to deadlines, identity requirements, eligibility restrictions and access-level rules. A transfer does not create an additional ticket or duplicate admission right.
9. Duplicate purchases and transaction errors
If you believe you were charged twice for the same intended purchase or that an obvious transaction error occurred, contact us promptly with the purchaser name, order number and relevant transaction details. We will review the records and correct confirmed duplicate or erroneous charges as appropriate.
10. Promotional, complimentary and discounted tickets
Complimentary passes have no cash refund value. Refunds for discounted or promotional tickets, where approved or required, are based on the eligible amount actually paid rather than the undiscounted list price. Promo codes, upgrades and promotional benefits are not redeemable for cash unless expressly stated.
11. Taxes, processing charges and fees
Where a refund is approved, the refundable amount will be determined by the applicable purchase terms and law. Taxes associated with a refunded amount will be handled as required. Payment-processing, platform or other fees will only be withheld where the purchase terms clearly disclose that treatment and applicable law permits it.
12. Admission denied or credential revoked
A refund is not automatically due where admission is denied or a credential is revoked because of confirmed fraud, counterfeit or duplicated credentials, unauthorized resale, material violation of event or venue rules, harassment, unlawful conduct or another serious breach attributable to the attendee, subject to applicable law and the circumstances.
13. How to request a refund
Submit a refund request through [email protected] and include the purchaser name, order number, ticket type, email address used for purchase and the reason for the request. We may request information reasonably necessary to verify the order or assess eligibility. A request is not approved until written confirmation is provided by Canada AI Week™ or the payment processor acting on our instructions.
14. Request deadlines
Where Canada AI Week™ announces a specific refund window following cancellation, rescheduling or another event change, requests should be submitted within that stated period. A stated deadline does not override mandatory rights that remain available under applicable law.
15. Approved refunds
Approved refunds will ordinarily be sent to the original payment method through the applicable payment processor. Processing and posting times are controlled in part by payment providers and financial institutions and may vary. Once a ticket is refunded or cancelled, the associated credential becomes invalid and cannot be used for admission.
16. Partial refunds, credits and alternative remedies
Where appropriate and permitted by law, Canada AI Week™ may offer a partial refund, event credit, transfer or other remedy for a partially delivered service or other circumstances. Any offered remedy will describe its value, scope, restrictions and expiry, if applicable. Acceptance of an optional alternative remedy will be handled in accordance with the terms communicated with that offer.
17. Chargebacks and payment disputes
If you believe a charge is incorrect, we encourage you to contact us first so we can review the order. Nothing in this policy prevents you from exercising lawful rights available through your card issuer or payment provider. Fraudulent or abusive payment disputes may result in cancellation of the associated credentials, subject to applicable law.
18. Fraud prevention
We may pause or deny a refund while reasonably investigating suspected fraud, identity misuse, credential duplication or payment abuse. Legitimate statutory rights and valid refund claims are not affected merely because verification is required.
19. Statutory and consumer rights
This policy does not limit refund, cancellation, disclosure or other consumer rights that apply and cannot lawfully be waived. Where applicable law provides a greater right or remedy than this policy, the mandatory legal requirement will apply.
20. Changes to this Refund Policy
We may update this policy for future purchases. The policy applicable to a completed purchase will be determined by the terms presented at purchase together with any mandatory rights under applicable law. The effective date at the top identifies the current website version.
