These Terms of Use govern access to and use of Canada AI Week™ websites and online services operated by Canada AI Week. By accessing or using the website, you agree to these Terms. Ticket purchases, event attendance, venue access, partner activities and specific programmes may also be governed by additional terms presented at checkout, registration or entry, including the Refund Policy, Ticket Terms, privacy notices, venue rules and codes of conduct.
1. Acceptance and scope
If you do not agree with these Terms, do not use the website. If you use the site or make a submission on behalf of an organization, you represent that you are authorized to do so. Additional written terms for a particular ticket, programme, competition, sponsorship or service prevail over these general Terms to the extent of a direct conflict.
2. Eligibility and legal capacity
You must have the legal capacity required for the transaction or activity you undertake. Where a purchaser or attendee is below the age of majority and applicable law or event rules require parental or guardian authorization, that authorization may be required before a purchase, registration or participation is accepted.
3. Website information
We aim to keep website information accurate and current, but event websites evolve quickly. Content may contain errors, omissions or information that becomes outdated. We may correct or update website content without notice, subject to applicable contractual and consumer-protection obligations.
4. Event dates, venues, speakers and programme
Dates, venues, speakers, sessions, formats, schedules, partners, sponsors, room assignments, capacities and digital-access arrangements may change. Publication on the website is not a guarantee that a particular speaker, session, venue, partner or feature will remain unchanged. Event cancellation or material rescheduling is handled under the published Refund Policy and any mandatory rights under applicable law.
5. Tickets, orders and confirmation
Ticket prices, taxes, fees, inventory, eligibility requirements and included benefits are those displayed at the time of purchase. An order is not final until payment is successfully authorized and confirmation is issued. We may reject, cancel or correct an order affected by suspected fraud, unauthorized resale, inventory error, duplicate processing, obvious pricing error or technical malfunction, subject to applicable law and any refund obligations.
6. Pricing, taxes and fees
Prices are displayed in the currency identified at checkout. Applicable taxes and disclosed fees may be added where required. Promotional pricing, discount codes and eligibility-based offers may be subject to separate conditions and availability. Unless expressly stated, promotional benefits have no cash value.
7. Accounts and credentials
If account functionality is provided, you are responsible for maintaining the confidentiality of your login credentials and for activity reasonably attributable to your account. Notify us promptly if you suspect unauthorized access. Event passes, QR codes, badges and credentials may not be duplicated, counterfeited or used to bypass access controls.
8. Transfers and resale
Ticket transfers, attendee-name changes and resale are permitted only where the applicable ticket terms or Canada AI Week™ process allows them. We may restrict unauthorized commercial resale, credential duplication, speculative purchasing or other conduct that undermines event access or security. A transferred credential cannot create a second valid admission right.
9. Acceptable use
You may not use the website or event systems to engage in unlawful conduct; impersonate another person; interfere with security or access controls; introduce malicious code; scrape or harvest data in a manner that violates law or these Terms; infringe intellectual-property, privacy or publicity rights; send abusive or deceptive communications; or disrupt services, attendees, speakers, partners or personnel.
10. Event conduct and admission
Attendees must comply with reasonable event, venue, safety and conduct rules. We may refuse or revoke access where reasonably necessary because of fraud, counterfeit credentials, harassment, threats, unlawful conduct, material disruption, safety concerns or a serious breach of applicable rules. Any refund consequences are governed by the Refund Policy, ticket terms and applicable law.
11. Accessibility and reasonable accommodations
We aim to provide an inclusive event experience and will consider reasonable accommodation requests in accordance with applicable requirements and operational feasibility. Attendees who require an accommodation should contact us as early as reasonably possible so arrangements can be assessed.
12. Intellectual property
Unless otherwise stated, the website design, Canada AI Week™ branding, text, graphics, software, event materials and other content made available by us are owned by or licensed to Canada AI Week and are protected by applicable intellectual-property laws. You may use website content for personal informational purposes only unless additional rights are expressly granted. No trademark, logo or brand licence is granted by implication.
13. Speaker, partner and community submissions
If you submit a speaker application, event proposal, partnership inquiry, biography, image, deck or other material, you represent that you have the right to provide it and that doing so does not infringe another person’s rights. Submission does not guarantee selection, publication, participation, sponsorship, funding, admission or any other relationship. Additional publication or promotional rights may be addressed in specific participation agreements.
14. Photography and recordings
Event areas may be photographed or recorded as described in registration notices, ticket terms, venue signage or specific releases. Attendees must not use recording equipment in a way that violates law, venue policy, speaker restrictions, confidential-session rules or the rights of other attendees.
15. Third-party services and links
The website may link to or integrate payment processors, maps, video hosts, social platforms, ticketing tools, hotels, venues and other third-party services. Third parties are responsible for their own content, availability, security, terms and privacy practices. A link or integration does not by itself constitute an endorsement.
16. Privacy
Our collection and handling of personal information is described in the Canada AI Week™ Privacy Policy and any additional notice presented at the point of collection. By using third-party services, you may also be subject to those providers’ privacy practices.
17. Website availability and security
We may maintain, modify, suspend or discontinue website features for security, maintenance, operational or legal reasons. We do not guarantee uninterrupted or error-free access. You are responsible for using reasonable security measures on your own devices and accounts.
18. Force majeure and circumstances beyond reasonable control
Event operations may be affected by circumstances beyond reasonable control, including severe weather, public-health measures, transportation disruption, venue unavailability, utility or network failures, labour disruption, governmental action or other extraordinary events. Remedies for cancellation or material rescheduling are governed by the Refund Policy, purchase terms and mandatory law.

To the extent permitted by law, website content is provided for general informational purposes and does not constitute legal, financial, investment, medical or other professional advice. Event discussions, speaker views and third-party materials are attributable to their respective authors or presenters and do not necessarily represent Canada AI Week. Nothing in these Terms excludes warranties or rights that cannot lawfully be excluded.
20. Limitation of liability
To the extent permitted by applicable law, Canada AI Week and its personnel, contractors and service providers are not responsible for indirect, incidental, special, exemplary or consequential losses arising solely from website use, website unavailability, third-party services or circumstances outside our reasonable control. Nothing in these Terms excludes or limits liability, warranties, statutory rights or remedies that cannot lawfully be excluded or limited.
21. Responsibility for your breach
You remain responsible for losses, claims or costs caused by your unlawful use of the website, infringement of another person’s rights, fraud, or material breach of these Terms, to the extent responsibility may lawfully be allocated to you.
22. Suspension or termination
We may restrict access to the website, an account, credential or digital service where reasonably necessary to protect security, investigate misuse, comply with law or address a material breach. Provisions that by their nature should continue after termination continue to apply.
23. Governing law and mandatory rights
These Terms are governed by the laws applicable in Canada and the transaction or activity concerned, without limiting mandatory consumer-protection, privacy or other statutory rights that cannot lawfully be waived. If a provision is unenforceable, the remaining provisions continue to the extent permitted by law.

We may update these Terms to reflect changes to the website, event operations or legal requirements. The current version will be posted on this page with an updated effective date. Where required, additional notice or consent will be provided.
